Winner emails

Preview the email each winning project gets, listing every prize it won.

The Winner emails page shows the email each winning project gets. There's one email per project, and it lists everything that project won: its rank prizes and any awards. Use this page to check each email before results go out.

Preview only

This page previews the emails. It doesn't send them, and neither does publishing results. Send them from the Results emails panel on the Winners page: see Results emails.

Who gets an email#

Every project that wins something gets one email, however many prizes it collects. The list on the left shows each one with:

  • Its final place, or — for a project that only won an award.
  • Its name.
  • A badge with the first prize it wins.

Click a project to preview its email on the right.

The header counts the emails and shows the sender. Until the last phase closes, the list comes from the projected ranking, and the header says preview from the projected ranking. Places and prizes can still change until then. See Winners for how the ranking becomes final.

If nobody wins anything yet, the page says so and offers a Set up rewards button.

What's in the email#

The preview shows the envelope first:

  • From: the sender name from the email settings, or the hackathon's name if you haven't set one.
  • To: the project's team.
  • Subject: "You won" followed by the project's first prize and the hackathon's name.

The body uses your hackathon's banner, logo and color from Branding, then shows:

  1. The title. By default it's "Congrats, " followed by the project's name.
  2. The description. If you leave it blank, the email says where the judges ranked the project out of all finalists. For an award-only winner, it names the awards instead.
  3. Each prize tier the project wins, with its image, name, description and items. Codes and credits show their value. Links, files and images show as links to open.
  4. The fine print, if you wrote any.
  5. A button, if you set a link for it.
  6. A link to the public winners page.
Tip

Reward codes and links appear only in the winner's own email. The public winners page shows prize names, never the codes.

Edit the email#

The copy is shared by every winner's email. You edit it on the Winner email tab of Rewards, which shows a live preview as you type.

FieldWhat it sets
From nameThe sender name. Blank uses the hackathon's name.
TitleThe heading at the top of the email.
DescriptionThe paragraph under the title. Blank uses the ranking sentence described above.
ButtonA link and its label. Without a link, the email has no button.
Fine printSmall text under the rewards, such as terms or claim deadlines.

In the title and description, you can use these placeholders:

PlaceholderFills in
{project}The project's name
{hackathon}The hackathon's name
{rank}The project's final place, or "–" for an award-only winner

What each project wins comes from the tiers on the Prizes tab of the same page. To change a prize's items, edit the tier there. Projects that didn't win get a separate thank-you email, set up on the Thank-you email tab.
